This section provides steps to setup your participant and donor email communications. Once created, you will use the emails to create appeals, which will be tied to your mission trip.

Create Communication Series 

In this section, you will configure email messaging to send to your participants and donors (contacts). You will create a start communication series and an end communication series for your participants and for your donors (contacts).

Participant Communication Series

Participant Start Series

  • Login to the V2 Admin Portal and navigate to: Marketing > Triggers and Templates > Communication Series > Add

  • Provide a Name and Description for the communication series

  • In the Appeal Type drop-down list, select VolunteerFundraising

  • In the Communication Series Type drop down box, select Volunteer Fundraiser Start Dynamic

  • Under the Communications section, click the Add Communication button

  • In the Days after member added to target list to send text box, enter the number of days to wait before sending the communication to a new participant. Hint: Typing a zero will send the first message as soon as the participant is added.

  • In the Channel drop-down list, select Email

  • Click the Add Existing Template button

  • Click the Select button next to the Mission Trip First Email template

  • Click the Preview drop-down list and select Edit

  • Click on the Subject tag on the bottom of the form. This is the default subject line that will appear on the email the participant receives. 

  • Click the Body tag on the bottom of the form

  • The default messaging will return the detailed information regarding the mission trip. Best Practice: leave this messaging and personalize around this information.

  • Under the edit box, you will find a list of template data that you can use to personalize the message your participant receives.

  • Click Preview and Save

  • Verify that the acknowledgement appears as you expected

  • Click Save & Exit

  • Repeat to add as many communication messages as needed

Participant End Series

  • Login to the V2 Admin Portal and navigate to: Marketing > Triggers and Templates > Communication Series > Add

  • Provide a Name and Description for the communication series

  • In the Appeal Type drop-down list, select VolunteerFundraising

  • In the Communication Series Type drop down box, select Volunteer Fundraiser End Dynamic

  • Under the Communications section, click the Add Communication button

  • In the Days before end of fundraising effort text box, enter the number of days before fundraising ends to send this message

  • In the Channel drop-down list, select Email

  • Click the Add Existing Template button

  • Click the Select button next to the Mission Trip Goal not Met Participant - First email template

  • Click the Preview drop-down list and select Edit

  • Click on the Subject tag on the bottom of the form. This is the default subject line that will appear on the email the participant receives. 

  • Click the Body tag on the bottom of the form

  • The default messaging will return their fundraising balance for the mission trip. Best Practice: leave this messaging and personalize around this information.

  • Under the edit box, you will find a list of template data that you can use to personalize the message your participant receives.

  • Click Preview and Save

  • Verify that the acknowledgement appears as you expected

  • Click Save & Exit

  • Repeat to add as many communication messages as needed

Donor Communication Series

Donor (Contact) Start Series

  • Login to the V2 Admin Portal and navigate to: Marketing > Triggers and Templates > Communication Series > Add

  • Provide a Name and Description for the communication series

  • In the Appeal Type drop-down list, select Fundraising

  • In the Communication Series Type drop down box, select Fundraising Start Dynamic

  • Under the Communications section, click the Add Communication button

  • In the Days after member added to target list to send text box, enter the number of days to wait before sending the communication to a new contact. Hint: Typing a zero will send the first message as soon as the contact is added to the participant's list.

  • In the Channel drop-down list, select Email

  • Click the Add Existing Template button

  • Click the Select button next to the Mission Trip First Gift Contact List template

  • Click the Preview drop-down list and select Edit

  • Click on the Subject tag on the bottom of the form. This is the default subject line that will appear on the email the contact receives. 

  • Click the Body tag on the bottom of the form.

  • The default messaging will return the information regarding the mission trip participant. Best Practice: leave this messaging and personalize around this information.

  • Under the edit box, you will find a list of template data that you can use to personalize the message your participant receives.

  • Click Preview and Save

  • Verify that the acknowledgement appears as you expected

  • Click Save & Exit

  • Repeat  to add as many communication messages as needed

Donor (Contact) End Series

  • Login to the V2 Admin Portal and navigate to: Marketing > Triggers and Templates > Communication Series > Add

  • Provide a Name and Description for the communication series

  • In the Appeal Type drop-down list, select Fundraising

  • In the Communication Series Type drop down box, select Fundraising End Dynamic

  • Under the Communications section, click the Add Communication button

  • In the Days before end of fundraising effort text box, enter the number of days before fundraising ends to send this message 

  • In the Channel drop-down list, select Email

  • Click the Add Existing Template button

  • Click the Select button next to the Mission Trip Goal Not Met Fundraising Series - Contact List template

  • Click the Preview drop-down list and select Edit

  • Click on the Subject tag on the bottom of the form. This is the default subject line that will appear on the email the contact receives. 

  • Click the Body tag on the bottom of the form. 

  • The default messaging will return the dollar amount raised and the total goal needed for the mission trip. Best Practice: leave this messaging and personalize around this information.

  • Under the edit box, you will find a list of template data that you can use to personalize the message your participant receives.

  • Click Preview and Save

  • Verify that the acknowledgement appears as you expected

  • Click Save & Exit

  • Repeat to add as many communication messages as needed

Create Appeals

An appeal logically groups the communications (created in the section above) into participant messaging and donor (contact) messaging. The appeals you create in this section will be attached to the mission trip you create.

Participant Appeal

  • Login to the V2 Admin Portal and navigate to: Marketing > Triggers and Templates > Appeals > Add

  • Provide a Name and a Description for your appeal

  • In the AppealType drop-down box, select VolunteerFundraiser

  • In the Associated Communication Series section, click the Add New Associated Series button

  • In the Communication Series text box, type an asterisk (*)

  • Select the Volunteer Fundraiser Dynamic Start series that you created

  • In the Communication Series text box, type an asterisk (*)

  • Select the Volunteer Fundraiser Dynamic End series that you created

  • Click Save & I'm Done

Donor (Contact) Appeal

  • Login to the V2 Admin Portal and navigate to: Marketing > Triggers and Templates > Appeals > Add

  • Provide a Name and a Description for your appeal

  • In the AppealType drop-down box, select Fundraising

  • In the Associated Communication Series section, click the Add New Associated Series button

  • In the Communication Series text box, type an asterisk (*)

  • Select the Fundraising Dynamic Start series that you created

  • In the Communication Series text box, type an asterisk (*)

  • Select the Fundraising Dynamic End series that you created

  • Click Save & I'm Done
