What information is available on the payment details view?

Information and actions available on the payment details page

The payment details page provides a lot of great information. You can get to payment details from the Finance tab > payments page or from and individual or organization profile, click the Reports button.

Each payment method type provides different information, so we will discuss the common items for all payments and then we will have a section for items specific to each payment method. 

Common Elements

  • The top section includes donor contact information and a Details for button that will take you to the donor profile.

  • The Payment section includes dollar amount, payment method, channel, dates related to the payment activity, and the status of the payment.

  • The Applied to section includes a link to the gift details (blue Gift link on the Commitment Type line)

  • The Financial Details section includes the general ledger line item details. If the line items have been pulled into a ledger post file, you will see a link to that file in the Ledger Post column. Please Note: If this payment was manually entered in the V2 admin portal or processed through V2, you will see Financial Details. If the payment was polled in from your integrated Church Management System (ChMS), this section will be empty.

  • The Fulfillment section will include details for any quid pro quo item associated with this payment. Please Note: if you do not utilize the Catalog feature, this section will be empty.

  • Under the Fulfillment section you will see a row of action buttons that are available for this payment. Please note: these buttons will differ based on the payment method, payment status, and length of time that has passed since the original payment was submitted.

Manually Entered Cash and Checks

Cash and checks that are manually entered in V2 will resemble the example above. 

Action Buttons Available

  • Manually Refund Payment: if you need to return funds to your donor, use this button.  Using the Manually Refund Payment button will generate ledger entries for the refund that you can pull into a ledger post file. Please Note: Once you complete the work flow, you will need to issue a paper check or cash back to the donor. 

  • Void Payment: if you made a mistake in manually entering a cash or check payment, or need to remove a payment without issuing a refund to the donor, use this button. Please Note: Void Payment will add ledger entries for payments originally entered in V2. If you use Void Payment for payments polled in from your ChMS, ledger entries will not be added in V2.

  • Edit Payment: with the edit payment button, you can change the donor, change the designation, and perform a few other edits as well. Please Note: changing the designation will generate adjusting ledger entries if the original payment was entered in V2. CAVEAT: for security reasons, Anonymous payments cannot be edited. If you need to edit an anonymous payment, you will need to void the payment and create a new one with the updated information.

Scanned Cash Envelopes

In addition to the common elements listed above, a scanned cash envelope payment will include additional information. 

Payment Section

The Payment section includes the batch number and the batch item number for the payment.

  • Batch: this is the batch number for this payment. The number is a link that will take you to the posted batch.

  • Batch Item: this is the batch item number for this payment. The number is a link that will take you to the item as it was originally posted. This if helpful if you have made edits to the payment and need to see how the payment was originally submitted.

Check Image Section

In the Check Image section, you will see a copy of the envelope you scanned along with buttons to view the front and back of the envelope.

Manually Refund Payment, Void Payment, Edit Payment

Scanned Checks

Scanned checks also include the Batch link and the Batch Item link in the payment section as described in the scanned envelope section above. In the Check Image section, you will see an image of the check you scanned along with buttons to view the front and back of the check.

Action Buttons Available

  • Edit Payment: while processing (before Deposited status is applied) this is the only action button available for a scanned check. The Edit Payment button is also available after the status has been updated to Deposited.

  • Manually Refund Payment: once in a Deposited status you will also see the Manually Refund Payment button. Please Note: If you need to return funds to a donor for a scanned check, you will need to issue a paper check or cash back to the donor. If the donor cannot wait for the check to settle, please instruct them to issue a stop payment at their bank.

Bank Account (ACH)

Bank account transactions can be submitted by the donor online or through the V2 admin portal. 

Action Buttons Available

  • Edit Payment: this button is available during and after processing

  • Refund ACH Payment: this button is available on the same day the transaction is submitted until it is goes to the bank for processing. This is typically around 7:00 PM Central.  Once the payment is processing, this button is not available until the payment is marked Deposited. This button will remain available for 60 days from the payment date to send a refund back to the donor bank account. Please Note: if you use the Refund ACH Payment button on the day a payment is submitted, it results in a Void of that payment. Additionally, After 60 days, this button is no longer available and a manual refund will be needed if a donor requests a refund.

  • Manually Refund Payment: this button becomes available once the payment has been marked Deposited and continues to be available after the Refund ACH Payment button is removed from the action buttons. Reminder: if you use the Manually Refund Payment option, you will need to issue a paper check or cash to the donor.

Credit/Debit Cards

Credit card  transactions can be submitted by the donor online or through the V2 admin portal. 

Action Buttons Available

  • Edit Payment: this button is available during and after processing

  • Refund Payment: this button is available for 60 days from the payment date to send a refund back to the card. After 60 days, it is removed from the action buttons. Please Note: if you use this button on the same day the payment was submitted it will result in a Void of the payment. Once the payment is processing (typically around 7:00 PM Central) a true refund is issued.

  • Manually Refund Payment: this button becomes available once the payment has been marked Deposited and continues to be available after the Refund Payment button is removed. Reminder: if you use the Manually Refund Payment option, you will need to issue a paper check or cash to the donor.
